Track registrations, live occupancy and automatic waitlists

You can view registrations for each event and track occupancy in real time to see how many seats are reserved or sold.

View registrations

Go to "Ticket sales > Registrations" to see who has bought tickets for the event and where they are seated.

At the top, you can see the number of available seats and seats being processed.

Seats being processed are held by people currently buying tickets.

In the sold tickets table, you can download tickets or move people to other available seats.

Exchange tickets as an administrator

If a member bought the wrong tickets, you can move the booking to another event.

Only administrators can rebook tickets. Go to Ticket sales > Registrations, open the event with the incorrect tickets and use the menu beside the person’s name to select “Rebook tickets”.

If a member would prefer another seat, you can move them.

Go to Ticket sales > Registrations, open the event with the tickets you want to move and use the menu beside the person’s name to select “Move”.

Sell tickets as an administrator

As an administrator, you can sell tickets under "Ticket sales > Registrations > Add registration".

Select the event, user and price category, choose seats, and enter any discounts or payment details. Customers receive tickets by email once payment is complete, or a cost note if no payment has been made.

Track live occupancy

For each event, you can see in real time which seats have been sold or are being processed.

Go to "Ticket sales > Manage > View occupancy".

In this live view, sold seats are red and seats being processed are orange.

Automatic waitlist

The automatic ticket waitlist works differently from waitlists for courses and activities. When a seat becomes available, the first person on the list automatically receives an email. They have one hour to buy the tickets. If they do not respond, the tickets are offered to the next person.

You can also send an SMS notification so the person on the waitlist can respond within the hour.

Two scenarios are possible:

  1. The customer currently buying seats cancels the order. The person on the waitlist immediately receives an email about the available tickets.

  2. The customer currently buying seats completes the order. The person on the waitlist is not notified and remains on the list.

You can turn off the waitlist for each event on its General tab. Members will then no longer receive automatic emails about available seats, and administrators can decide who gets them.
