Additional services

In addition to activity fees, you can charge customers for additional services. These might include insurance, membership fees, childcare during camps or other optional services.

How does it work?

Example 1: Mandatory membership fee

When I enrol my daughter in a course for the first time, Ledenbeheer automatically charges the membership fee. If I enrol her again during the same period, the fee is not charged again because she has already paid it to the club.

Example 2: Optional insurance

When I enrol my daughter in a course for the first time, Ledenbeheer offers the additional service. I can choose extra insurance for her. If I enrol her again during the same period, the insurance is not offered again because she is already insured through the club.

How do you configure it?

Click “New service” to add an extra charge, then name the service (for example, “Insurance”).

Set the period

Ledenbeheer automatically checks whether the person has already registered for this additional service during the selected period. You can set a recurring period, so you can choose the same insurance next year and Ledenbeheer updates the year automatically.

Mandatory or optional

Mandatory: You can make the additional service mandatory at checkout. This is useful for required charges such as membership or insurance fees.

Price groups and prices:

A price group lets you offer several options within one service. For example, an “Insurance” service can have “Standard insurance” and “Extended insurance” options.

By default, there is one price group and one age group. You can set a different price for each age, so insurance for under-18s can cost a different amount from insurance for over-18s.

Link additional services to activities:

Once you have configured the service, link it to the activities where you want to offer it.

Open the activity and go to Prices > Additional services. Select the services to link and click Save. Repeat this for each activity where you want to offer them.

User lists

Click “User list” to view registered people. You can select the relevant sports year.

Use the checkbox in the first column to mark members you have already insured. Later, select “Show unchecked members only” to see everyone who still needs insurance.

Register for an additional service as a member

Registration for an additional service is always linked to a course. When a member registers for a course with a linked service, they are also registered for that service automatically.

Some clubs let members join without taking a course, for example through an additional service named “Membership”. You can set this up in Ledenbeheer:

1. Create a course with exactly the same name as the additional service.

2. Link the additional service to the course as described above.

3. A message confirms that the additional service prices will apply to this course.

The “Membership” activity appears on the registration page, where members can register for it directly.
