Sell products?
Selling clothing with your logo gives your organisation greater visibility and can increase revenue at the same time. Now selling clothing is even easier.
Create products
WHERE? Webshop > Product list
General
To create a product, you need some basic information:
Product title
A short description shown on the overview page
A longer description shown on the product detail page
Product photos (up to three per product, with one featured on the overview page)
Product category (for example, T-shirts or fundraising campaigns)
Categories
It is best to organise products into categories, such as biscuits, T-shirts or DVDs. You can also use categories to create a private inventory.
For example, create a “performance clothing” category and set it to Private. Products in this category are hidden from the overview page, but you can share the category link with your team so they can see them.
If you need the customer’s address for an order, select this option. The customer will then be required to provide their address.
Email notifications
Want an email whenever someone places an order? Enter your name and email address to receive a notification immediately.
Webshop items can have four statuses:
Published (online and for sale)
Draft (editing mode)
Private (accessible only through its unique link)
Trash (deleted)
Products with the Private status do not appear in the product overview. Only members with the unique product link can order them. You can find that link below the product title after saving.
Variations (prices and stock)
A product can have variations such as size, colour or type.
You can set a price, discount and stock level for each variation.

For each variation, you can choose whether to show the stock level and whether to allow orders when it is out of stock.
If you allow orders, members see in their basket that the product is on backorder.

Link products to activities (cross-selling)
You can link webshop products to courses and activities. At checkout, members can then add a product, such as a T-shirt, to their order.
Set this for each product under the Link tab.

Track orders
Under Webshop > Orders, you can track and add orders.
Each order has a status:
Open (product not yet delivered to the customer)
Completed (products delivered to the customer)
On backorder (products out of stock)
Cancelled (order cancelled)
The overview shows which products were ordered and whether they are in stock.
Green icon = in stock
Yellow icon = partly in stock
Green checkbox = delivered
Red icon = out of stock

Click an order row to view its details. Click the member’s name to open their profile, or the order number to open the cost note.
The order details show more information about that order.

Change an order
You can edit placed orders, for example to handle exchanges. To change a product variation to an entirely different product, delete the order and place a new one.

To change a customer’s variation, such as Small to Medium, use “Adjust ordered quantity”.

After a variation is changed, a credit note is generated for the original invoice and a new invoice is created. Any price difference is recalculated.
Place orders as an administrator
Add orders under Webshop > Orders.
Select the products on the left. On the right, choose the customer and indicate whether the product has already been delivered.
If the customer pays on site, record it immediately. Alternatively, email the cost note so they can pay later.

Understanding the stock list
Total stock
Everything physically present in your warehouse.Reserved
Items set aside for customers who have already ordered.Available stock
What is still available to sell (total stock minus reserved stock)Delivered
Items already delivered to customers and therefore no longer present in your warehouse.On backorder
Goods on backorder are added to your warehouse when the supplier delivers them.
This overview helps you keep your warehouse organised and see where every item is.
Manage stock: adjust or replenish
You can easily adjust or replenish stock in the stock list:
Adjust: Set the remaining stock directly to a new value.
Replenish: Add the entered quantity to the current remaining stock.
When you add stock, the reserved stock and the remaining stock update automatically. This keeps your figures up to date.
