Payment reminders

Set deadlines, send reminders and manage overdue payments.

If your organisation does not require immediate payment, members may pay late or not at all.

Set a payment deadline

Set the payment deadline under Settings > Payment options.

The due date can be a number of days after the order or a fixed date. If someone enrols after the fixed date, the number of days is used instead.

Once the due date passes, the cost note is marked Overdue. The enrolment is not deleted automatically.

You cannot change the due date after creating a cost note.

Ledenbeheer tracks due dates and gives your organisation an overview of overdue payments.

Prevent late payments

Payment reminders are unpleasant for both your organisation and members. Sometimes it is better to resend the cost note before sending a more forceful reminder.

To resend a cost note, go to Finance > Cost notes. Find the cost note and click the blue Send button.

Tip: To avoid payment reminders, enable Required online payment.


Payment reminders

A payment reminder resends the cost note to the enrolled member and clearly states that the payment deadline has passed.

You can send an SMS with the payment reminder. Set this under Settings > Communication > SMS.

Automatic payment reminders

Ledenbeheer can send payment reminders automatically. Record received payments promptly so members do not receive a reminder by mistake.

Set up automatic payment reminders under Settings > Payment methods.

Manual payment reminders

Go to Finance > Payment reminders to send a reminder with one click.

Click the blue bell icon to send a payment reminder.

Use the checkboxes to send several reminders at once.


Add an administrative fee

When editing a cost note (the pencil icon), you can add an administrative fee for late payment.

This creates a new cost note for the administrative fee.

Block an account

If a member still refuses to pay, you can block their account. First remove the enrolment by editing the cost note and deleting all its lines.

To block a member, open their profile, click Edit and scroll down to the Block account button.

You can also enter a message here.

Members see this message when they try to enrol in your organisation. They cannot enrol again, but they can still access their profile and outstanding cost notes.

A blocked account cannot enrol anyone in your organisation, including other family members on that account.

Unblock an account

Follow the same steps to unblock an account. A blocked account shows an Unblock button instead.
