Record stock correctly
Open a costume and go to Sizes & location. Add every size or variant separately and enter the number of pieces available. Use quantities that still need to be counted or are on order when the physical stock is not yet complete.
Work with sizes and variants
Add the size exactly as your team recognises it, such as 128, XS, M or one size. For mixed sets, describe the relevant variant clearly. Accurate sizes help you assign the right costume to each participant.
Enter the date of birth for children when available through Ledenbeheer. This gives your team useful context, but always confirm the actual costume size before final assignment.
Use storage locations
Assign a fixed storage location so anyone can find and return the costume. Use consistent names such as Warehouse A – Rack 3 – Box 12. Locations can be updated for several costumes with Bulk edit.
Organise with labels
Labels make large collections easier to search. Create labels for style, theme, colour, age group, season or any internal workflow your club uses. Avoid creating several labels that mean the same thing.
Availability and reservations
The available quantity is influenced by stock and existing reservations. Check the costume detail and reservation period before assigning pieces to a class or performance.
Keep information reliable
Count stock after returns and before a new production.
Record damaged, missing or unavailable pieces immediately.
Move costumes to their new location in DanceVault when reorganising storage.
Use the activity log to review important changes.
